CANCELLATION AND REFUND POLICY

THE KINGS & QUEENS MEDICAL UNIVERSITY COLLEGE CANCELLATION, PAYMENT & REFUND POLICY

1. Cancellation, Payment & Refund Policy

1a. Session Cancellations by The Kings & Queens Medical University College

  • If a session is cancelled, parent(s)/guardian(s) agree that parent(s)/guardian(s) may enroll parent(s)/guardian(s) son/daughter/ward in another session. If one is not available at The Kings & Queens Medical University College at a convenient time for parent(s)/guardian(s) participant, a refund will be issued for all monies paid to The Kings & Queens Medical University College for the cancelled class, including the registration and materials fee.

1b. Payment: Registration and Other Fees 

1b.1i Registration Fee

  •  All enrolled participants/attendees (both new and continuing) are required to pay a non-refundable annual registration fee.
  • The registration fee is a one-time, non-refundable, annual fee of GHC200.00, unless otherwise specified. There is no summer term registration fee.

1b.1ii Materials Fee

  • The materials fee is non-refundable and reflects the estimated costs of supplies designated by grade groupings for an individual participant/attendee. 

1b.1iii Late Fees

  • Tuition for the following trimester is due no later than 10 business days (two full weeks) prior to the start of the new trimester. A GHC300.00 late fee will be applied automatically if payment is not received.

1b.1iv Returned Check Fee

  • A GHC100.00 fee will be charged for each returned check.

Payments can be made by credit card (Master card, VISA Card, Debit Card, check or cash.

1c.2i Payment by Credit Card

  • Credit card payment can be used to complete registration and enrollment online or in-person at The Kings & Queens Medical University College offices.
  •  Payment for multiple participant/attendee enrollment can be combined on one credit card transaction. Please ensure that separate registration forms have been completed for each child.
  • Please provide the first and last names and grades of the children enrolled in the “Notes” box where credit card information is gathered. If participant/attendee is enrolled with a different last name than the last name on the credit card, please also indicate their last name. Thank you.

1c.2ii Payment by Check

  • Please make checks payable to: The Kings & Queens Medical University College
  • Payment for multiple participant/attendee enrollment can be combined on one check. Please ensure that separate registration forms have been completed for each participant/attendee.
  • Please put the enrolled participant/attendee’s first and last name(s) on the check and a telephone number where you can be reached.
  • If the participant/attendee is enrolled with a different last name than the last name on parent/guardian’s check, please be sure to indicate their last name on the check. Thank you.

1c.2iii Payment by Cash

  • Cash payments are accepted in-person only at The Kings & Queens Medical University College offices.
  • NEVER mail cash please.
  • If parent/guardian plans to pay in person, please call ahead to ensure the registration office is ready to assist. Thank you. (+233-208343631)

1d. Withdrawal and Refund

  • Please notify The Kings & Queens Medical University College in writing should the parent/guardian decide to withdraw his/her participant/attendee from The Kings & Queens Medical University College.
    The Kings & Queens Medical University College's staff values all feedback greatly and is glad to make an appointment with the parent/guardian to discuss his/her/their change in plans. Thank you.

1d.3i Withdrawal Policy for the Academic Year (September – June)

Tuition refund terms upon The Kings & Queens Medical University College’s receipt of a written notification are as follows:

  • 100% of tuition is refunded if the written notification is received 20 business days (four weeks) before the start of classes for the academic year or partial academic year for which the participant/attendee enrolled.
  • 75% of tuition is refunded if the written notification of cancellation is received by the end of the first week of classes  for the academic year or partial academic year for which the participant/attendee enrolled.
  • 50% of tuition is refunded if the written notification of cancellation by the end of the second week of classes for the academic year or partial academic year for which the participant/attendee enrolled.
  • 25% of tuition is refunded if the written notification of cancellation is received by the end of the third week of classes for the academic year or partial academic year for which the participant/attendee enrolled.
  • No refunds are issued if the written notification of cancellation is received after the third week of classes for the academic year or partial academic year for which the participant/attendee enrolled.

Please note the following:

  • Refund amounts are based upon total tuition paid for a given period. Payment for an academic year, 2/3rds of an academic year or one trimester are treated as one enrollment payment. Refunds will be taken according to cumulative payment, not by the trimester. For example, if a participant/attendee enrolls for the academic year and provides written notice of intent to withdraw within the refund period, the refund will be given for the entire payment made. If a participant/attendee enrolls for the academic year and does not provide written notice of intent to withdraw within the refund period, no refund will be given, including for portions of the academic year during subsequent trimesters.
  • All refunds will exclude any discounts or promotions. These figures will be subtracted from the refund provided.
  • Refunds will be provided in the form of payment they were originally made. All refunds will be provided within 30 to 60 days from receipt and acceptance of written intent to withdraw.
  • Registration and materials fees are non-refundable.

1d.3j Withdrawal Policy for the Summer Term (July-August)

Tuition refund terms upon The Kings & Queens Medical University College’s receipt of a written notification are as follows:

  • 100% of tuition is refunded if the written notification is received by April 12 or second week of April equivalent.
  • 75% of tuition is refunded if the written notification of cancellation is received by April 19.
  • 50% of tuition is refunded if the written notification of cancellation by April 26.
  • 25% of tuition is refunded if the written notification of cancellation by May 3.
  • No refunds are issued if the written notification of cancellation is received after May 3.

Please note the following:

  • Refund amounts are based upon total tuition paid for a given period. 
  • All refunds will exclude any discounts or promotions. These figures will be deducted from the refund provided.
  • Refunds will be provided in the form of payment in which they were originally made. All refunds will be provided within 30 to 60 days from receipt and acceptance of written intent to withdraw.
  • Registration and materials fees are non-refundable.

1d.3k Withdrawal Policy for the School Vacation Weeks

Tuition refund terms upon The Kings & Queens Medical University College’s receipt of a written notification are as follows:

  • 100% of tuition is refunded if the written notification is received 90 days in advance of the course start date.
  • 75% of tuition is refunded if the written notification of cancellation is received 60 days in advance of the course start date.
  • 50% of tuition is refunded if the written notification of cancellation is received 45 days in advance of the course start date.
  • 25% of tuition is refunded if the written notification of cancellation is received 30 days in advance of the course start date.
  • No refunds are issued if the written notification of cancellation is received after 30 days in advance of the course start date.

Please note the following:

  • Refund amounts are based upon total tuition paid for a given period. 
  • All refunds will exclude any discounts or promotions. These figures will be deducted from the refund provided.
  • Refunds will be provided in the form of payment in which they were originally made. All refunds will be provided within 30 to 60 days from receipt and acceptance of written intent to withdraw.
  • Registration and materials fees are non-refundable.

Parent(s)/guardian(s) understands the registration, enrollment and cancellation policies and agrees to abide by them.

2. Specials and Sibling Discount Policy

2a. Promotions

  • The Kings & Queens Medical University College offers promotional specials from time to time. For “specials,” the client will receive the published discount amount with use of the corresponding promotional code. Limit one discount per participant.
  • Note that certain promotional require that the session balance be paid in full at the time of enrollment to receive the promotional discount. These specials cannot be used in conjunction with a payment plan.
  • The class session balance must be paid in full at the time of enrollment to receive the published discount amount.
  • All applicable cancellation/refund policies apply.
  • All promotional codes must be submitted at the time of enrollment. The Innovation Institute does not honor retroactive adjustments.
  • The total discounts received cannot exceed the total cost of the services purchased.
  • None of the promotional specials are valid for tuition-assistance recipients, i.e., those receiving needs-based financial assistance from The Kings & Queens Medical University College.

2b. Sibling Discount Policy

  • The Kings & Queens Medical University College offers a 5% or 2.5% tuition deduction for each additional sibling enrolled after the first sibling's enrollment at the full tuition cost. If paid via check, the deduction is 5%. If paid via credit card, the deduction is 2.5%. The deduction is taken from the lower tuition fee. 
  • The Sibling Discount applies to additional siblings concurrently enrolled at The Kings & Queens Medical University College and cannot be combined with any other special being run at that time, unless specifically noted.
  • The total discounts received cannot exceed the total cost of the products purchased.
  • Sibling discounts are not valid for tuition-assistance recipients, i.e., those receiving needs-based financial assistance from The Kings & Queens Medical University College.
  • Please contact The Kings & Queens Medical University College at +233-208343631 if parent(s)/guardian(s) wishes to conduct enrollment entirely online. The Kings & Queens Medical University College’s staff will help ensure proper deductions are taken via the website/online enrollment process.

2c. Promotional Code Discounts

  • A valid promotional code is required to receive a discount (limit one per participant).
  • All promotional codes must be submitted at the time of enrollment.

3. Financial Assistance

The Kings & Queens Medical University College is dedicated to making its science and engineering classes more accessible to all participant/attendees, regardless of their economic means. The Kings & Queens Medical University College can only award limited tuition assistance based on financial need at this time. Submission of a financial aid application is not a guarantee of tuition assistance.

To be considered for assistance, please request and complete The Kings & Queens Medical University College’s application and send the following documents:

  • Financial Aid Application
  • Tax return for the three years
  • Three most recent pay stubs for every employed family member.

All applications will be reviewed before October 15. Parent(s)/guardian(s) will be notified about the amount of the aid. The Registration Fee and a pro-rated first month tuition must be paid before September 1st regardless of any future financial aid. The application for financial aid has no bearing upon a child's acceptance into the program. All information submitted as part of the financial assistance assessment will be kept STRICTLY confidential.
